Administrative Information

I.      Date and Venue

        The 2nd International Conferenceon Child Friendly Asia Pacificwill be held at The Sunan Hotel in Surakarta, Central Java, Indonesia. The conference will commence at 08:30 am, 30 June - 2 July 2011 (Tentative Agenda).

II.       Registration for Participants

        Due to preparation of the conference, participants are requested to complete the registration form and return it to the Deputy Minister for Child’s Growth and Development, Ministry of Women’s Empowerment and Child Protection of the Republic of Indonesia by 20 June 2011.

        Registration is now open on a first come, first served basis for the 2nd International Conference on Child Friendly Asia Pacific in Surakarta, Indonesia on 30th June to 2nd July 2011. Due to the logistic matter, registration is capped at 500 delegates.

III.    ID Badge Collection

        ID Badges will be available for collection from the Accreditation Desk inside the Kono Room, located at the Sunan Hotel Solo. It will be opened during the following times:  

Accreditation Desk, Kono Room

29 June 2011     12.00 pm to 20.00 pm

30 June 2011     08.00 am to 20.00 pm

        Participant needs to present a printed copy of their Certificate of Accreditation (sent by e-mail after registration is completed) as well as identification such as a passport, driver’s license or diplomatic ID to the counter staff when collecting their ID Badge.

        Due to security reasons, all participants are advised to wear their ID Badge visibly.

IV.    Arrangements for Accommodation

V.        Transportation

 
1)   Air Ticket

        
The Organizing Committee will not support airplane tickets for the participants. Participants are required to arrive at the hotel in Surakarta on 29 June 2011, check in time is 14:00 hrs.

 
2)   Local Transportation

          
The Organizing Committee will arrange airport transfers from/to Hotel - Surakarta airport for all participants. The Organizing Committee will not support the transportation cost if any participants come to the hotel by themselves. All participants are requested to inform the details of flight schedule for the arrangement. Participants are advised to proceed to the airport lobby after exiting at gate where the hotel airport representatives bearing the hotel logo awaits for arrival.

Complimentary shuttle service will be provided from 30 June 2011 to 2 July 2011 between The Sunan Hotel and most of the official hotels. In principle, this shuttle bus operates once an hour from 07.00 am to 23.00 pm; however, it will operate more often to meet peak demand, before and after meetings and lunch breaks.

Further information regarding the shuttle service timetable will be distributed at the Kono Room (Accreditation Desk).


VI.      Meals

1)     Welcome Receptions


a.  Lunch Hosted by the State Minister of Women’s Empowerment and Child Protection, Republic of Indonesia

A Welcome Reception will be hosted by the State Minister of Women’s Empowerment and Child Protection, Republic of Indonesia on 30 June 2011, from 12.30 pm to 13.30, at The Sunan Hotel. The Minister invites all the delegates of the conference and the National Children Forum. The dress code for the reception is formal. 

b.  Welcome Dinner Hosted by the Mayor, City of Surakarta

A Welcome Dinner will be hosted by the Mayor, City of Surakarta on 30 June 2011, from 19.00 pm to 21.00, at Ngarsopuro.Ngarsopuro is an area in front of Mangkunegaran Palace which is installed with paving, seating, a variety of sculptures and paintings (http://www.surakarta.go.id/news/ngarsopuro.html). The Mayor invites all the delegates of the conference and the National Children Forum. The dress code for the Reception is traditional costumes or smart casual.

Invitees are reminded to bring along their invitation card as well as their ID Badge to the reception venues. The invitation cards will be sent to the delegates via the Liaison Officer (LO).

Complimentary bus services for the dinner reception will only be provided for invitees between the Ngarsopuro and the Sunan Hotel at 18.30 pm. The invitees who stay at other official hotels are advised to be ready at the lobby of the Sunan Hotel before 18.30 pm. The timetable will be mentioned in the invitation cards. The buses will leave the Ngarsopuro shortly after the reception.

2)   Lunch

The Organizing Committee will provide lunches and coffee breaks during the meeting period from 30 June to 2 July 2011 (except 30 June – welcome reception hosted by the Minister). Buffet lunch during the conference will be available in the Restaurant at The Sunan Hotel.

3)     Dinner

Dinner will be provided at 29 June 2011 and 1 July 2011 (only at the Restaurant of The Sunan Hotel)

Notes:

1.  Dinner for 30 June will be hosted by the Mayor of Surakarta City.
2.  The Organizing Committee will not provide dinner for 2 July 2011.


VII.   Passport and Visas

Before departure, the participants are asked to make sure whether their passports and necessary visas are valid during the conference. The Organizing Committee does not reimburse the cost of obtaining passports, visas, vaccinations, airport taxes, excess baggage, and transport between airports, air terminals and hotels. The expenses are occurred outside Indonesia is on participant’s responsibility.

VIII. Sickness or Accident Insurance

Before proceeding to attend the conference, participants are advised to obtain insurance coverage, either at their own expenses or at the expense of their nominating organization, for sickness, accident, or temporary disability, death and third party risk covering the entire duration of the Conference and the journey to and from the host country. The Organizing committee cannot accept responsibility of liability for such contingencies. In case of accident or sickness during the conference, participants should endeavor to notify the organizer immediately.


IX.     Venue Facilities and Services

1). Business Center

A business center is set up and located on the Ground Floor and open during the following times:

29 June - 1 July 2011       from 0800hrs to 2000hrs

2 July 2011                       from 0800hrs to 2000hrs

The business center will be equipped with the following shared facilities:

·   Internet connections for laptops

·   Printers and photocopiers

·   Paper

The Organizing Committee will not support any costs for using facilities in business center.


2). Wireless Internet Access

Free wireless Internet access is provided in the following meeting rooms: Room 2, Room 3,Narendra-Indo Asia Dining, and Lobby. Participants are requested to prepare for laptops and internet connection equipments and to connect the laptop with the wireless network by oneself. Password will be informed to use the wireless Internet service.


3). Prayer Rooms

A prayer room, Mushola Qalbun Salim, is available at basement level of the Sunan Hotel, at the following times:

29 June 2011                  from 1200hrs to 2100hrs

30 June - 1 July 2011      from 0800hrs to 2100hrs

2 July 2011                     from 0800hrs to 1300hrs


4). Medical Room

A Medical Room is set up at the secretariat room (Kono Room), at the following times:

29 June 2011                 from 1400hrs to 2100hrs

30 June - 1 July 2011      from 0800hrs to 2100hrs

2 July 2011                    from 0800hrs to 1300hrs

During this period, the room will be closed every day from 1130hrs to 1230hrs.


IX.    Dress Code

The dress code for all meetings will be smart casual, except the dress code for the first day (30 June) is formal. 


X.      Weather In July, the temperature ranges from approximately 28 to 30 degrees Celsius. 


XI.    Currency In Indonesia the currency is Rupiah (IDR) and at the present time 1 US Dollar is officially equivalent to approximately IDR 9,000.
